Commercial Tendering and Contract Analyst (SMP)

Job Purpose

Implement, develop, and manage comprehensive tendering processes and commercial contracts, ensuring strict compliance with regulatory standards, optimizing efficiency, and strategically aligning with the airport's commercial objectives to drive successful business partnerships and operational excellence.

Position Accountability Description

Operational Excellence

1. Assist in the preparation and review of tender documents according to the commercial development plan, ensuring all necessary details are accurately documented and comply with company standards and regulations.

2. Support the development of commercial tender plans for business partnerships by providing detailed analysis and input, considering the nature of the service and the size of the opportunity to ensure optimal outcomes.

3. Gather and compile necessary inputs to create comprehensive RFP documents, ensuring they cover all aspects such as service type, facilities, contract duration, feasibility, legal terms, and financial conditions, to

provide a clear and thorough framework for potential bidders.

4. Assist in the process of setting the relative weightings for each element in the evaluation criteria, ensuring a balanced and fair assessment that leads to reliable and justifiable results.

5. Collect and document business requirements meticulously to ensure they are accurately captured in RFP drafts, and coordinate with Commercial Directors for thorough review and approval.

Contract Administration & Compliance

6. Prepare all necessary documentation and coordinate closely with Legal for contractual notifications and dispute resolution, ensuring all legal aspects are managed accurately and efficiently.

7. Monitor contract performance and compliance diligently by tracking key metrics and reporting any

discrepancies, ensuring all aspects of awarded commercial contracts are administered and overseen effectively.

8. Track performance metrics and report discrepancies systematically to continuously monitor contracted partner performance, ensuring compliance with SLAs and quality standards to maintain high service levels.

9. Document and report performance issues and discrepancies comprehensively, addressing and resolving any arising problems promptly to ensure smooth and uninterrupted operations.

10. Verify contractor qualifications and documentation rigorously, confirming with Procurement, Tendering &Contracts that only the most qualified contractors and partners are invited to participate in the RFP process.

11. Assist in the implementation of contract management software and tools, ensuring all contract-related information is systematically recorded, easily accessible, and up to date for efficient management and retrieval.

Collaboration & Stakeholder Engagement

12. Work collaboratively with team members by sharing knowledge, providing support, and actively participating in team activities, fostering a positive and productive work environment. Contribute to the development and tracking of KPIs to monitor individual and team performance.

13. Coordinate with financial analysts to ensure all financial aspects of tenders, including pricing structures and cost estimates, are accurately incorporated into tender documents to support informed decision-making.

14. Provide detailed performance data and feedback in stakeholder review meetings to assess partner performance, ensuring transparency, accountability, and continuous improvement in service delivery.

15. Support the formation process of a fixed Prequalification Committee to evaluate commercial contractors' profiles, ensuring that all necessary criteria and qualifications are thoroughly assessed.

16. Work collaboratively with team members by sharing knowledge, providing support, and actively participating in team activities, fostering a positive and productive work environment. Contribute to the development and tracking of KPIs to monitor individual and team performance
