Job Description

 Job Purpose

The Employee Services Team provides various HC services to employees, ensuring their overall well-being and satisfaction. They work closely with the Employee Services Head to deliver efficient and effective HC support. The Employee Services Team contributes to a positive and supportive work environment, helping to attract and retain top talent.

Position Accountability

Description Operations:

1. Handle employee disputes, misconduct, and violations by preparing documentation, investigating grievances, and resolving complaints in alignment with Labor Laws and DACO policies.

2. Ensure the accuracy and efficiency of personnel data by updating and maintaining HC information systems and coordinating with relevant teams to address any data-related issues.

3. Verify & Ensure with the payroll section about the effects on the employee’s salary, such as deductions due to employee violations or other matters..

4. Ensure monthly compliance with the payroll department regarding GOSI details, related benefits, and wage protection.

5. Facilitate internal and external audits by providing necessary documentation and support, developing inspection reports, and identifying opportunities for improvement.

6. Oversee the medical insurance enrollments, changes, and terminations processes, maintaining a comprehensive database to ensure seamless management of employee benefits.

7. Monitor employee’s attendance through the attendance system and notify line organizations pertaining punctuality & absenteeism issues. 

Compliance and Governance:

8. Establish and maintain strong relations with governmental entities to ensure smooth processing of visas, work permits, and other legal requirements, while handling employee services such as contract management and leave requests.

9. Supervise employee leaves, vacation requests, and terminations, ensuring compliance with organizational policies, and addressing any escalated queries related to medical services.

10. Conduct regular quality assurance reviews on HC activities to ensure adherence to established policies, procedures, and legal requirements.

11. Safeguard Employee Services & employees’ data. 

Employee Relations and Support:

12. Manage employee services, including contract management and termination procedures, ensuring efficient support and compliance with relevant laws and regulations.

13. Develop initiatives to enhance employee engagement, health, and well-being by ensuring access to necessary resources, benefits, and support services.

Stakeholder Management:

14. Build and maintain strong relationships with internal and external stakeholders, including governmental entities, to ensure effective collaboration and smooth HC operations.

15. Coordinate with other departments to ensure proper handling and timely resolution of HC-related matters and employee concerns. Innovation and Continuous Improvement:

16. Implement and monitor process improvements by analyzing current practices, identifying inefficiencies, and applying best practices to enhance productivity and reduce costs.

17. Foster a culture of continuous improvement by actively seeking feedback, implementing ideas for enhancement, and driving innovation in HC practices through the adoption of new technologies and best practices.

Reporting and Analysis:

18. Develop and maintain HC reports, to provide insights and recommendations to senior management, supporting data-driven decision-making.

Team Collaboration and Continuous Learning:

19. Work collaboratively with team members by sharing knowledge, providing support, and actively participating in team activities to foster a positive and productive work environment.

20. Engage in continuous learning by seeking feedback, attending training sessions, and staying updated on industry trends to enhance personal skills and professional growth.
